Frequently Asked Questions
My research doesn't fit the "Beyond the Bench" theme. Can I still submit an application?
Of course! We welcome all research ideas, not only those relevant to the theme of the conference. The theme is intended as a indication of the speakers' interests rather than guidance on the content of the posters.
Is there a conference fee to pay?
No, there is no submission or attendance fee - the conference is subsidised by our generous sponsors OUCAGS.
Can I attend the conference if I am not presenting?
Yes, please come along - we hope to see many young academic clinicians who we hope will enjoy the variety of posters, speakers, and the opportunity to discuss all aspects of research with other attendees including senior clinicians involved in local research. There will be certificates for conference attendance as well as for presentation so you can have this evidence for portfolios/job applications.
What are the poster dimensions?
Maximum dimensions are 1m wide by 2m tall. Any posters exceeding this size will be folded so that they fit within the specified dimensions and do not impinge on neighbouring displays. A1 size poster (841 x 594 mm) will fit on in landscape orientation, but A0 (1189 x 841 mm) will need to be portrait.
What are the specific requirements for projects involving patients?
We would expect you to obtain appropriate consent from the patient involved, but also to fully anonymise as would be the case for other forms of publication.
Will I need to provide anything to hang the poster?
It is up to you, but we will provide pins and boards so all you need to do is bring your poster.
How will my poster be judged?
Each poster is judged by a team of 2 judges - one senior and one junior academic. They will visit your poster during the appropriate session and will expect you to be present to answer their questions. This is expected to take around 5 minutes. They score the posters in multiple domains according to a mark sheet.
Can I submit a poster for display but not attend in person?
Each poster will need to be presented in person. It is anticipated but not essential that this would be the first author. Any posters which are not presented in person will not be eligible for prizes.
Will there be a printed conference programme?
Yes, we will provide free copies of a printed programme on the night. This will include authors and titles of all posters presented for your reference during the conference, and for future reference if desired.
Are there any oral presentations?
Delegates will only be expected to present posters - there will not be any oral presentations from delegates. We do however have three fantastic invited speakers who will be giving talks.
Will I get an attendance certificate?
Yes, official attendance certificates stating your name will be e-mailed out within a week of the conference. Those who present posters will get a certificate stating the title of their poster and the category in which it was presented.
Are there any refreshments?
Yes, finger food and a selection of drinks will be available during the conference. If you have any special dietary requirements, please email and we will do our best to accommodate.
Will there be any parking?
The venue is a working hospital and as such there are pay and display car parks if you so wish. There will not be any free parking for delegates.
Is there a dress code?
Please dress as you would to work in a hospital i.e. smart.
